The Client’s Brief

In 2016 the company were housed in a small residential based office with some shared areas. The cleaning was initially undertaken in-house. But, as their business flourished, they needed to contract out their cleaning requirements.

Our Process

1. The Discovery Phase.

Following their enquiry, we met with the team at Lineview Solutions and had a thorough discussion about their needs and working patterns. We viewed the property and ensured we understood how to work around their operations to cause minimal disruption.

2. The Implementation Phase.

A quote for the work was submitted and accepted. Then we prepared a schedule of cleaning work. We hired a cleaning operative from the local area.

In this instance, we trained the cleaning operative by giving them the opportunity to work alongside a member of our Cleaning Technique staff. This allowed them to familiarise themselves with our expectations and standards.

3. The Monitoring Phase.

Regular “Quality Meetings” with management enable feedback on any areas that need improvement. It also allows us to check whether any additional services are required.

4. “Re-discovering” the Discovery Phase.

During the subsequent years of providing cleaning services for Lineview Solutions, they have seen continued growth and expansion with the i3 Group. This led to the acquisition of land and the development of a purpose-built work environment to enhance mindfulness and collaboration.

They were pleased with the quality of our cleaner’s work, so we kept the contract with the company for the new building.  It is a pleasure, not only to see a company expand, but for us to work in a beautiful bespoke building, with views towards the Malvern Hills.

This did mean, though, that we had to cycle through our process again to ensure we provided an excellent service. It was a new phase of discovery for us. The purpose-built facilities are based on Innovation Campus.  The property is across two floors, with mixed-use offices, meeting rooms, kitchen and washrooms facilities, these all require daily cleaning. There is an additional guest flat and shower room that has scheduled cleaning before and after use.

As the site is so much larger, two operatives are now employed on this site. They both had interviews, reference checks, and induction training on-site, to meet the specifications of the new cleaning schedule. Again, we ensure we have regular Quality Meetings with management to allow for feedback.

Adapting During Covid-19

During 2020 we were able to adjust the office cleaning contract in response to the Covid-19 pandemic. Initially we pause the cleaning during Lockdowns. Then, as the business adjusted to the new circumstances, we provided one operative to undertake the cleaning to minimise the numbers entering the building.

It is encouraging that numbers of staff are increasing as restrictions ease, and we hope that things will open up properly soon.

We are convicted that this type of responsive cleaning service is something that is of great benefit to our clients.
